How to Use the Time Card Calculator
Whether you are an hourly employee double-checking your paycheck, or a manager calculating payroll for your team, this free tool handles the math automatically.
- Multiple Shifts: Click "Add Shift" on any day if you work a split shift (e.g., you work a morning shift, go home, and come back for an evening shift).
- Unpaid Breaks: Enter your lunch break in minutes (e.g., 30 or 60). The calculator will automatically deduct this from your total daily hours.
- Overnight Shifts: If you clock in at 10:00 PM and clock out at 6:00 AM, the calculator automatically detects that your shift crossed midnight into the next day and calculates the correct 8 hours.
- Exporting: Click the "CSV" button to download a spreadsheet of your week, or click "Print" for a clean, printer-friendly version of your timesheet.
Overtime Calculations
By default, the calculator assumes the standard federal overtime threshold of 40 hours per week, paid at time-and-a-half (1.5x).
The summary at the bottom of the calculator will automatically split your total hours into "Regular Hours" and "Overtime Hours," applying the 1.5x multiplier only to the hours worked beyond 40.
Decimal Hours for Payroll
If you work 8 hours and 15 minutes, you cannot simply write "8.15" on your timesheet. Payroll requires time to be converted into decimals.
Because there are 60 minutes in an hour, 15 minutes is actually exactly 1/4th of an hour (15 รท 60 = 0.25). Therefore, 8 hours and 15 minutes becomes 8.25 hours. This calculator automatically converts all your hours and minutes into the correct decimal format required for payroll.
